Water Damage Insurance Claims

For the homeowner to formulate a proposal for water damage insurance, you must first gather comprehensive documentation of the damage, contact your insurer, and work with a claims adjuster to negotiate a final settlement.

The process involves several key steps, from immediate mitigation efforts to submitting a detailed and well-supported claim.

Step 1: Mitigate further damage and ensure safety

As soon as you discover water damage, take immediate steps to stop the source of the water and protect your property. This is a critical requirement of most insurance policies.

Secure the area: If it’s safe, shut off the main water supply and electricity in the affected areas to prevent further harm.

Remove excess water: Use pumps or wet vacuums to extract standing water.

Take temporary measures: Put tarps over leaky roofs or use towels to prevent water from spreading.

Keep receipts: Document and keep receipts for any expenses related to these temporary repairs, as they may be covered by your policy.

Step 2: Document the damage thoroughly

Visual evidence and detailed records are the backbone of a strong claim. You should begin documenting the damage as soon as it is safe to enter the area.

Take photos and videos: Capture both wide-angle shots of the entire affected area and close-ups of specific damage to items and structures. Use a smartphone or camera to record a video walk-through.

Create an inventory: Make a detailed list of all damaged items, including electronics, furniture, and personal belongings. For each item, note its brand, model, age, condition before the damage, and an estimated value.

Provide proof of ownership: Include receipts, bank statements, or credit card records to prove ownership and value for expensive items.

Log communications: Keep a detailed record of every conversation with your insurance company, including the date, time, and the representative’s name.

Step 3: Report the claim and review your policy

Once you have secured the area and documented the initial damage, it’s time to formally report the claim to your insurer.

Notify your insurer: Contact your insurance company immediately. Many policies have a limited timeframe for reporting claims. Have your policy number, the date and time of the incident, and your initial assessment of the damage ready.

Check your coverage: Review your specific policy to understand what is covered, your deductible, and any limitations or exclusions. This will help set realistic expectations. For instance, most policies cover “sudden and accidental” events like a burst pipe, but exclude gradual damage or external flooding.

Step 4: Cooperate with the claims adjuster

After you file your claim, the insurance company will assign a claims adjuster to inspect the damage and evaluate your loss.

Prepare for the visit: Organize all your documentation, including photos, videos, and inventory lists, so it is easily accessible.

Walk through the property: Be present for the inspection and guide the adjuster through all damaged areas. Point out every issue, including hidden damage like wet insulation.

Clarify and question: Don’t be afraid to ask questions about the process or their assessment. Take notes on their observations.

Receive and review the initial offer: The adjuster will use their assessment to determine the initial settlement offer. Be prepared to negotiate if their estimate seems low.

Step 5: Obtain an estimate from Absolute Maintenance & Consulting/Arc Construction

To support your claim and ensure a fair settlement, you should seek multiple independent estimates from qualified professionals, like AMC/Arc.

Hire licensed contractors: AMC/Arc, a licensed contractor specializing in water damage restoration, will provide a written estimate. You may want to obtain 2 to 3 different estimates.

Compare estimates: AMC/ARC’s estimate might be higher than the adjuster’s. This is common. Compare the two and submit AMC/Arc’s documentation to your insurer as part of a supplemental claim if necessary.

Ensure detailed reports: Make sure AMC/Arc’s reports break down the materials, labor, and timeline required for repairs.

Step 6: Negotiate and settle the claim

If the initial offer from your insurer is insufficient, you can negotiate to receive a fair settlement.

Present your case: Share AMC/Arc’s estimate, repair costs, and inventory of damaged items. Explain any discrepancies between your documentation and the adjuster’s report.

Submit a supplemental claim: If AMC/Arc finds additional damage, you can submit a supplemental claim with new documentation to support an increase in your settlement.

Understand payment structure: Confirm whether your policy pays based on the Actual Cash Value (ACV) or Replacement Cost Value (RCV) of your property. ACV accounts for depreciation, while RCV covers the cost of a new replacement.

Review and accept: Once a final settlement is reached, you will review and sign AMC/ARC’s proposal, which then becomes a binding contract for the restoration work.

Step 7: Complete repairs and receive final payment

The final stages involve completing the restoration work with AMC/Arc and collecting the remaining settlement funds.

Begin restoration: Once the contract is finalized, AMC/Arc can begin work. You may receive an initial payment from your insurer to start.

Finalize claim: After AMC/Arc completes repairs, submit the final invoices and any required documentation to your insurer to receive the remaining funds.
